Minutes from May 22, 2008
BOLTON CENTER SCHOOL PTA
MAY 22, 2008

Meeting came to order at 6:43 p.m.
I. Welcoming Remarks – For anyone who is new here tonight and for those who are not, I just want to remind everyone that the PTA is required to follow Parliamentary Procedure and Robert’s Rules of Order at meetings. PTA meetings are open to everyone; however, voting on matters is limited to dues paying members.
II. Reading & Approval of Minutes (March 27, 2008) – minutes stand approved
III. Report of PTA Officers

1. Treasurer’s Report & Narrative – June 30th to submit pink forms

Please refer to the financial report attached. Highlights of activity since the school year began are as follows :

Revenue :
• PTA membership to date is at 384 members. Net profit from membership totals $197.
• Net profit from calendars, directories & memo pad sales thus far is $1610.
• The Wrapping paper fundraiser is complete. Gross Sales were $24,175 which included $790 in donations in lieu of purchases. Our net profits totaled $12,714. While sizeable, it falls short of our budgeted profit by ($1,286).
• The Book Fair is complete. Gross sales were $9,909. Our net profit totaled $2,117 and is ($583) less than budgeted.
• The Munsons fundraiser is also complete. Gross sales were $11,647.28 which included $256.75 in donations in lieu of purchases. Our net profits totaled 4,762.
• We have received three checks for box tops totaling $1942.
• We have received $10,133 for the Variety Show and to date our expenses have totaled $4,406 –however, we have not paid out for all expenses to date.
• Interest received on cash in the bank during the school year totaled $143 (unrestricted accounts only).

Expenses:
• Books for Bolton program showed income of $152.
• Teacher reimbursements of $2,432 were made to teachers for classroom & computer supplies, books and professional development fees.
• The Membership committee spent $163 for copies, refreshments and meeting materials.
• The Public Relations/Publicity committee spent $252 on one year of web hosting for the PTA website and printing costs for KidsFirst.
• Enrichment activity expenses include the following: payment for assemblies - $400 for a Spanish program; $285 for a 7th grade science program; author visits from Robert T Abbott ($1500), Patricia Hubbell ($300), Heidi Stemple ($750) and a photographer visit from Lou Jones ($650); $500 to Hawkwing for storytelling; Museum of Science ($475) $292.50 for a Mystic Outreach program; James Martin ($90); Terry Parrett ($750) as well expenses paid for the Read-a-thon program, spelling contest and Camp Fair.
• The Ways & Means committee spent $538 for the back-to-school luncheon; the beginning-of-the year barbeque netted a profit of ($40); the ice cream social cost $409; paid $474 for costs during Teacher Appreciation Week, and $137 was spent on copies and supplies.
• The PTA general liability insurance policy for 2007/2008 was paid, $280.
• General committee supplies, meeting notice copies, and miscellaneous expenses incurred by the PTA committee totaled $697.
• Playground equipment (balls, sidewalk chalk, etc) was purchased for $234.
• $3700 was paid to fund the 8th grade class trip.
• The 2006/2007 school year audit (review) was completed, $350.
• Renewed membership to Sam’s Club, $35.
• Contingency expense total was $25 and was used for a memorial contribution for the passing of Mark Winzler’s mother.

A. Election of Officers and Committee Chairs Nominations Motion made by Julie Begin, Patti Callahan 2nd, motion passes unanimously
B. Approval of Proposed Budget for 2008/2009 – Motion made by Julie Begin, Mary Fran McGeary 2nd, motion passes unanimously.
